Facilities Coordinator

We are searching for a passionate person to support our plant, warehouse, and office facility locations. Reporting to the Director of Operations, the role will be full-time, non-exempt and will be based at our plant located in Akron, OH, while also supporting our downtown Akron office and Cuyahoga Falls warehouse locations.
Duties / Responsibilities:
- Liaise with facility management vendors to ensure buildings, grounds, equipment, and supplies are maintained and serviced (currently 3 facilities)
- Serve as main contact for and oversee shared support services such mail, security, and IT
- Provide scheduling, preparation, and hospitality/concierge support for visitors. (i.e. preparing PPE for plant tours, planning meal reservations, ordering and setting up refreshments, providing local venue recommendations, etc.)
- Provide administrative support for logistics by ordering appropriate supplies such as placards, labels and seals
- Maintain office aesthetics and presentation (general upkeep) ongoing and in preparation for visitors
- Support planning and execution of in-house or off-site activities, parties, celebrations, and conferences
- Manage corporate apartment needs, including addressing issues and maintaining a relationship with the building office/landlord and coordinating cleaning services
- Support onboarding of new hires (assigning locker, desk set-up, badge assignment, office supplies, and ordering equipment)
- Support plant operations and maintenance team with ordering and receipt of required parts, equipment, and supplies; printing permits; and FR laundry service
- Position requires local travel between facilities, vendors, and suppliers
Required Skills / Abilities:
- Knowledge of office administrator responsibilities, systems, and procedures
- Proficiency in MS Office (MS Excel in particular)
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- Flexible and ability to adapt to changing environment
- Safe driving record
Education and Experience:
- High School degree or equivalent
- Proven experience as an Office Administrator
- Prior experience with vendor management preferred
